What Age Analysis shows you
Age Analysis groups your unpaid invoices by how long they have been sitting, so you can see at a glance who owes what and how overdue each one is. There are two of them, one for each side of your money:
- Age Analysis under Sales — headed Age Analysis — Customers, showing what your customers still owe you from your unpaid invoices.
- Age Analysis under Purchases — headed Age Analysis — Suppliers, showing what you still owe your suppliers from your unpaid supplier invoices.
Everything on these pages is worked out automatically from the invoices you have already captured. There is nothing to fill in, you only read it.
Open the report
- For what customers owe you, open Age Analysis under Sales (in the Sales tools card, or the Sales group on desktop).
- For what you owe suppliers, open Age Analysis under Purchases.
- Each one groups the unpaid amounts into 0–30, 31–60, 61–90 and 90+ day buckets, oldest first, so the most overdue stand out.
Reading the buckets
Under the buttons are four coloured boxes. Each one is a time bucket and shows the total amount sitting in that age band:
- 0–30 days: fresh, still within a normal payment window.
- 31–60 days: getting late, worth a friendly reminder.
- 61–90 days: properly overdue, time to follow up.
- 90+ days: very old, needs your attention.
Below the boxes, a summary bar shows your grand total, either Total outstanding from clients or Total owed to suppliers, together with how many unpaid invoices make it up.
Reading the list below
Under the summary bar, each unpaid invoice is listed inside its bucket. The buckets run down the page freshest first — 0–30 days at the top, 90+ at the bottom — and within each bucket the most overdue invoice sits at the top. Every bucket also shows its own heading, like 31–60 days overdue, with the bucket total next to it. For each invoice you see the customer or supplier name, the document number, the date, how many days old it is, and the amount still owing.
When there is nothing outstanding, the list is replaced by a friendly note — 🎉 No outstanding client invoices on the customer report, or ✅ No outstanding supplier invoices on the supplier one. An empty list is good news.
Credit held on account
If you are holding credit on account for a customer — say from a credit note you put on account instead of refunding — Age Analysis takes it off the total. You will see a Less credit on account line, then a Net owed to you figure showing the real position once that credit is used up. The supplier report works the same way, with a Net you owe figure after any credit a supplier is holding for you. These lines only appear when there is credit sitting on account.
Save or share the report
At the bottom of the page are two buttons. 📄 Download PDF saves the whole aged report as a PDF you can file or email. 📤 Share sends the figures — each age bucket, the total, and any credit-on-account net — out through your phone's share sheet, so you can WhatsApp it to your accountant.
