Getting started

Set up your business and find your way around.
Build your own dashboard
The dashboard's board is yours to arrange: pick widgets from a gallery, reorder them, and every chart widget carries a Details tab with the real rows behind the picture.
What the statuses mean
Every badge in Worklog — unpaid, part paid, credited, pending, reconciled, needs a home — defined in one place, plus which actions can't be taken back.
Locked out? Reset your password
Reset your password from the login screen in a minute — or ask the business owner to send you a reset from Team & Permissions. There's always a way back in.
Install Worklog on your phone
Worklog installs straight from your browser — its own icon, full screen, no app store needed. Android offers a one-tap Install; on iPhone use Safari's Add to Home Screen.
Set up your business
Fill in your business profile when you first sign up, then add your logo, bank details and SARS tax details under Business details so they appear on your documents and tax reports.
Find everything in the Business Hub
The Business Hub is where the owner sets the business up once — your business details, your bank accounts, and your team — all in one place.
Add customers and suppliers
Keep everyone you deal with under Contacts, split into a Customers list and a Suppliers list. Add them one at a time, or bring a whole spreadsheet in at once with a CSV file.
Log money in and out
Record cash coming in and going out of your business — by filling in a quick form, or by typing, speaking or snapping a photo with Quick Log.
Quick Log — record almost anything
The gold button that turns a typed, spoken or photographed note into the right entry — income, an expense, an appointment, stock, a trip, hours worked or a new contact — and points bigger jobs at the right tool.

Contacts Reports
Four printable reports over your customers and suppliers: the full directory, who actually pays late, who has gone quiet, and whose details are too thin to work with.
Download or delete your records
Take a complete copy of everything you have recorded in Worklog as one file of spreadsheets, and delete your records for good when you are finished with them.
Telling your staff and customers what you keep about them (POPIA)
POPIA makes you, not Worklog, responsible for telling people whose details you hold what you have and why. Two short notices you can copy: one for an employee, and one line for your invoices.

Save the things you sell and use — services, products, materials and labour — with their cost and sell prices, and keep an eye on what is running low.
Work out a price with the Cost Calculator
Cost a job or product from its materials, products and labour, add a markup for a suggested price, and save the result to your price list.

Five reports over your price list, each its own screen: what stock you hold and what it is worth, what you make on every item, what needs reordering, what has stopped selling, and whether your prices still match your costings.

Build an invoice from line items, save it, share it over WhatsApp or as a PDF, and mark it paid when the money comes in.
Send a quote
How to build a quote in Worklog, set how long it stays valid, share it with your customer, and turn an accepted quote into an invoice.
Send a customer statement
Pick a customer and share a statement showing all their invoices, any credit notes, and what they still owe.
Get paid: match a payment to an invoice
Link a payment you receive to the invoice it settles, so your Profit and Loss does not count the same money twice, and mark the invoice paid at the same time.
Credit an invoice (Credit Notes)
The SARS-correct way to reverse part or all of an invoice — the VAT is reversed, the customer's balance updates, and you can send a credit note document.

Create a purchase order
How to create a purchase order for a supplier, share it as a PDF or via WhatsApp, and move it through its pending, acknowledged, fulfilled and cancelled states.
Record a supplier invoice
Capture a bill from a supplier so you can claim the input VAT, see what you owe, and mark it paid when the money goes out.
Send a remittance advice
Tell a supplier exactly which of their invoices your payment covers, then share it as a PDF or over WhatsApp.

Money

Banking, bank statements, cash-up and your accounts.
Email your bank statement in
Forward your bank statement from your own email address to your business's private Worklog address, and it lands on the Import Statement screen waiting for your review — nothing is imported until you check it.
Type your bank lines in
Banking's + Add opens Capture bank lines — one account at a time, a line per statement entry, saved as a batch with the account's new balance shown before you commit.
Import a bank statement
Upload a bank statement PDF or photo and let Worklog read, sort and import your transactions for you.
Reconcile against your bank statement
Tick each transaction off against your real bank statement, so you know your Worklog records and your bank agree — and every ticked row is complete.
Do a cash-up
Count your cash at the end of the day and check it matches what you logged in Worklog.
Set up your bank accounts
Add the bank, savings, cash and card accounts your business uses, by hand or from a spreadsheet, so you can track each balance on its own or all of them together.

Diary, time and mileage.
Use the Diary to make appointments
Make and keep appointments in the Diary — who they are with, what they are for and when — and mark each one complete, no-show or cancelled.
Track your time
Log the hours you work for each customer or job in the Time Log, and mark each one billable or not so you know what you can charge for.
Log travel (Travel Log)
Record the business kilometres you drive so Worklog works out your SARS travel deduction for you.
Scheduling Reports
Three printable reports in one place: what your diary did, the hours you logged versus what you quoted, and your business travel with the SARS deduction.
Track actual hours vs your estimate
Link time entries to a quote and compare the hours you have logged against the hours you quoted, so you know when a job is running over.

Add staff to your register
Register each employee or contractor once in the Staff Register so their pay type and rate load automatically every time you do a Pay Run.

Use the 5-step Pay Run wizard to pay your whole team in one run — Worklog works out UIF, PAYE and SDL per person and makes each one's payslip.
Manage staff leave

Worklog computes your VAT201 and EMP201 and walks you field by field through entering them on SARS eFiling, then keeps your own filing record. The submission itself happens on eFiling.
Work on your VAT201
