What a cash-up is for
At the end of a trading day you count the actual cash you hold β the till, the cash box, the notes in your pocket. Worklog compares that against the cash you logged during the day and shows you the difference. Small differences happen. A big one is worth a second look before you close up.
Before you start
The cash-up only works from what you have already logged. It looks at your Log Income and Log Expense entries for the chosen date where the payment method is Cash. So log the day's cash sales and any cash you paid out first, then do the cash-up.
Do the cash-up
- Open Cash-ups under Money. It opens on your list of past cash-ups, like every other tool.
- Tap + New at the top right. The count screen opens; its back arrow returns you to the list at any point.
- Check the Date. It starts on today. Tap it to pick another day if you are catching up.
- Look at the grey box. It shows Cash in (logged this day), Cash out (logged this day) and Expected in cash. Expected in cash is what you should be holding.
- Count the real money you are holding.
- Type that total into Counted cash - what's actually there.
- Add a Notes line if something explains a difference, for example gave change short or forgot to log a sale. This is optional.
- Tap Save Cash-Up. You land back on the list with the new day at the top.
Counting one till β what βexpectedβ includes
A cash-up counts one till. Pick which cash account you're counting, and βexpected in cashβ is what that till should hold at close: yesterday's closing float, plus the day's cash takings, minus cash spending, plus money moved in (a float drawn from the bank), minus money moved out (banking the takings). Taking R5 000 to the bank is a transfer, not missing money β record it as one under Banking and the count stays honest.
Reading the difference
As soon as you type a counted amount, Worklog shows a coloured banner comparing it to what was expected. It tells you whether your cash matches exactly, is more than expected, or is less than expected, and by how much.
- Matches exactly, or off by less than a rand: shown in blue, all good.
- More or less cash than expected, up to about R20 out: shown in amber, a small difference.
- More than about R20 out: shown in red, worth checking before you save.
A red difference usually means a sale or a cash payment was not logged, or too much or too little change was given. If you find the missing entry, log it and the expected amount will update.
Your saved cash-ups
Search narrows the list by date, cash-up number or note. A sort bar above the list switches between Recent, Amount (biggest discrepancy first) and Number, with the count of what's showing underneath it.
Each row shows the date, an icon that's green for an exact match and amber or rose for over or short, the expected and counted amounts, the difference (β Exact, or how far off with a + or β) and any notes. Once you have more than ten, a Show all button opens the full history. It keeps a running record so you can spot a cash box that is regularly short.
If you're allowed to log cash-ups, tap a row and the count screen opens on that day, filled in with its counted cash and notes, headed "Fix the cash-up for β¦", with the button reading Update Cash-Up. The difference is worked out again when you save. The back arrow backs out without changing anything. There's no delete on a cash-up β a wrong count is a correction, not something to remove.
Your total to date
Tap the Cash-up Summary card above the list, or find Cash-up Summary under Reports, for the net over or short across every day you've counted β all your daily differences added together β with how many days were exact, over and short, plus the total cash in and cash out. It has its own period picker (month, year or all time) and the same Download PDF / Share / Export CSV buttons as every other report.
The counted amounts are deliberately not added up. Each one is what was in the till that evening, so adding them would count the same float over and over.
The reminder on your dashboard
On a day that cash actually moved through your till, Needs you today on the dashboard shows "Today's cash-up isn't done" with the cash that went through, and tapping it opens this page. It disappears as soon as you save the cash-up for that day.
On a day with no cash income or cash expenses β a card-only day, or a day you did not trade β nothing is shown, because there is no till to count.
If it says view only
If you see View only, your account does not have permission to log cash-ups on this business. The business owner can change what your account can access under team permissions.
