Reconcile against your bank statement

Tick each transaction off against your real bank statement, so you know your Worklog records and your bank agree — and every ticked row is complete.

What reconciling means

Reconciling is checking your Worklog records against your real bank statement, line by line, and ticking each row that agrees. A ticked row means two things at once: the money really moved (it is on the bank statement), and the row is properly in your books. When everything is ticked, you know your records are complete and your balances are real — not hopeful.

Worklog does not connect to your bank, so the tick is your judgement: you look at the statement, you find the line, you tick it. That is deliberate — the tick is you signing off the row.

Where and how to tick

  1. Open Banking and tap the account you are reconciling, so the list is only that account's rows.
  2. Every row has a Recon button on the right, next to the amount: ○ Recon means not yet agreed, and it turns into a green ✓ Recon when you tap it. Tap again to undo a mistake.
  3. Tap the ○ Not reconciled pill above the list to hide everything already agreed, so you only see the rows still to check.
  4. Sit with your bank statement (paper or the banking app) and go row by row: statement shows it, Worklog shows it, the amounts agree — tick. When the list is empty, that account is reconciled.

Why some rows refuse the tick

Worklog will not let you reconcile a row that is not properly in your books yet — the tick is the moment the row becomes final, so everything it needs must be there first. Tap Recon on a row that is not ready and a note appears under it saying exactly what is missing:

  • It must be tagged to an account. A row in no account has no statement to agree against — open the row and pick the account it moved through.
  • It must have a home: a category, or a link to the invoice or bill it settles. The Set category picker is right on the row, so this is usually one tap.
  • An expense that stands on its own (no bill behind it) must have "I have a receipt or proof for this" confirmed. If that is the only thing left, the note offers the answer right there: tap "✓ I have a receipt or proof — reconcile it" and both happen at once.

Some rows never need the proof question, because the proof already lives in Worklog or the question does not apply: a payment matched to an invoice or bill (the document is the proof), wages booked by a pay run (the payslip is), personal money (nothing is claimed against tax), transfers, and money in.

💡This is on purpose: it makes the reconcile tick a promise that the row is done — filed, backed by proof, agreed to the bank. Worklog records that you confirmed the proof; keeping the actual slip safe is on you, and SARS can ask for it.

The two mismatches you will meet

  • On the statement but not in Worklog: money you never captured. Log it, or run the statement through "Let Worklog read it" and its lines land in this same list.
  • In Worklog but never on the statement: the suspect rows — usually something captured twice, or logged to the wrong account. The oldest unreconciled row is always the first one to chase.

The scoreboard

Banking Reports → Reconciliation shows where every account stands: how many rows are agreed, the rand value still unconfirmed, the overall agreed percentage, and each account's oldest open date. It prints to PDF if your accountant wants it, and the Account Statement report marks each line's reconciled status too.
