Type your bank lines in

Banking's + Add opens Capture bank lines — one account at a time, a line per statement entry, saved as a batch with the account's new balance shown before you commit.

What this is for

This is where money gets logged. Open Banking and tap + Add at the top right, and you land on Capture bank lines — a list you type your statement into, one line per entry, saved together at the end. It is built for the ordinary case: thirty lines where the bank has already told you the date, the payee and the amount, and the only open question is where each one belongs.

You work one account at a time, and the screen keeps a running total of the batch plus what it will do to that account's balance — so a typo shows up while you are still looking at the statement, not at year end.

💡Got the statement as a PDF, a photo or a CSV file? You do not have to type it. "Let Worklog read it" at the top of Banking reads a PDF or photo for you, and ⬆ Import takes a CSV — see Import a bank statement.

Before you start

  • Add your bank accounts first (Business Hub → Bank accounts). Every line lands on an account, which is what makes balances, reconciling and the By Method report work.
  • Have the statement in front of you — on paper, on screen or in your banking app.
  • Nothing is saved until you tap Save. Until then the batch lives on this device, and it survives closing the page by accident.

Pick the account

The account pills sit under the heading. If you tapped + Add while standing in one account in Banking, that one is already picked; otherwise it opens on your default account.

Switching accounts mid-statement costs you nothing: each account keeps its own half-typed batch, so you can check another one and come back to exactly what you had typed.

Type a line

  1. The first line is already open and waiting. Tap 💰 In for money received, 💸 Out for money paid, or 🔄 Move for money going to another of your own accounts.
  2. Check the date — it starts on today, so change it to the date on the statement.
  3. Type the description: who paid you, or who you paid, or what it was for.
  4. Type the Amount. It is always the full amount that moved, VAT included.
  5. Add the reference if the statement has one, like CARD 4821 — this is the line you copy straight off the paper.
  6. If the money settles an invoice you sent or a bill you recorded, pick it under "Is this payment for an invoice?". Worklog offers to mark that document paid when the amount covers it.
  7. If it settles nothing, tap More and give the line a home — see below.
  8. Tap Done to close the line, or + Add line to start the next one.
💡Only one line is open at a time. The rest collapse to a single row each, showing who, when, how much and whether anything is still missing — so a thirty-line statement stays a screen you can see the whole of. Tap any collapsed row to open it again.

What's behind More

More holds the questions that do not need asking on every line. It only appears where they apply — a matched line takes its filing from the document it settles, and a move has nothing to file.

  • What was this for — the SARS category. This is what files the line on your reports; without one it lands under Uncategorised and shows in Banking as "Needs a home".
  • VAT — if you are VAT registered. On a sale: standard-rated, zero-rated or exempt. On a purchase: whether there is VAT to claim.
  • "I have a receipt or proof for this" on money out. Nothing is uploaded — Worklog only records that you have it, and a payment cannot be reconciled until you say so.
  • "This is personal money" — your own cash in or your own drawings out. Kept out of your business totals and tax entirely.

Move money between your own accounts

Tap 🔄 Move on the line and pick the account it went into under "Into which account?". The money leaves the account you are standing in and lands in the one you pick.

A move is not income and not an expense — it never touches your Profit & Loss or your tax. It only shifts each account's balance, and both accounts update the moment you save.

Check the batch and save

At the foot of the screen sits the batch: how many lines, the totals in, out and moved, and the one check worth making — "Saving these takes FNB Cheque from R2 340,00 to R7 115,50." If that closing figure does not match the closing balance on your statement, one of the amounts above is wrong, and now is a far easier time to find it than at year end.

  1. Read the two warnings if they show: lines that still need a home (they save anyway), and payments with no receipt claimed (those cannot be reconciled until you say you have proof).
  2. Check the closing balance against your statement.
  3. Tap ✅ Save all lines.
  4. A green note confirms how many saved and to which account. Pick the next account and carry on, or head back to Banking.
⚠️If a line matches something already on that account — same day, same amount — the screen flags it before you save: "already on this account". Two genuine payments of the same amount on one day do happen, so it does not stop you, but check it is not the same one entered twice.
💡Typed twenty lines and your phone rang? The batch is kept on this device, and the screen tells you it picked up where you left off when you come back. It is cleared once you save.

Afterwards

  • Every saved line appears in the Banking list with its own reference — INC- for money in, EXP- for money out, TRF- for a move.
  • The account balances at the top of Banking include what you just saved.
  • To change a line after saving, tap it in the Banking list. That opens the full form, which is where a saved entry gets corrected.
  • Lines with no category are waiting under the "Needs a home" filter in Banking — work that pile down whenever it suits you.
