Quick Log — record almost anything

The gold button that turns a typed, spoken or photographed note into the right entry — income, an expense, an appointment, stock, a trip, hours worked or a new contact — and points bigger jobs at the right tool.

What Quick Log is

Quick Log is the gold button on your home screen. It is the fastest way to get something into Worklog: instead of finding the right tool and filling in a form, you just say what happened — in plain words, out loud, or by snapping a photo — and Worklog works out what it was and fills in the entry for you to check and save.

It used to be for money in and out only. Now one note can become any of seven kinds of entry, and anything too big for a quick note gets pointed at the proper tool instead. You never have to decide which one first — you just describe it.

The seven things it can log

Quick Log reads your note and picks one of these on its own. You do not choose — you just describe what happened:

  • Income — money that came in. "R450 cash from Thabo for the gate fix".
  • Expense — money that went out. "Bought R200 fuel at Engen, paid card". A photo of a till slip is almost always an expense.
  • Appointment — set for a client, with no money paid yet. "Book Sarah for Friday 2pm, braai catering R1500".
  • Stock — an item and quantity to add to your price list. "Add 20 bags cement at R80 each".
  • Trip — kilometres driven for the business, for your mileage log. "Drove 45km to Sandton for a site visit".
  • Time — hours worked on a job. "3 hours plumbing for Mrs Khumalo".
  • Contact — a new client or supplier to save. "Add a new supplier, BuildIt, 0123456789".
💡If money changed hands, Quick Log treats it as income or an expense first — even if a job or appointment is mentioned. "Sarah paid R500 for today's appointment" is logged as income, not an appointment.

Four ways to tell it

  • Type — write it in the What happened? box. Tap one of the example lines to fill the box, then change it.
  • Speak — tap Speak and say it out loud. Worklog turns your voice into words for you.
  • Camera — tap Camera to photograph a receipt, invoice or handwritten note. Worklog reads the total and the details off it.
  • Upload — tap Upload to add a photo or document already on your phone.
⚠️Speaking works best in Chrome or Safari. If voice does not work on your phone, just type it instead — it reads exactly the same. Voice is set to South African English, so local names and places come through better.

How it works, step by step

  1. Tap the gold "Just tell me" button on your home screen (it opens a window titled Quick Log).
  2. Tell it what happened — type, Speak, Camera or Upload. Say it naturally; mixing English, Afrikaans, isiZulu or other languages, and short SMS-style spelling, are all fine.
  3. Tap Log it. Worklog reads it and shows a card with what it worked out — for example Income detected, Appointment detected or Trip detected — with the amounts and details filled in.
  4. Check the card. Fix anything that looks wrong, and add the extra bits each kind of entry offers (for income, link an invoice you sent and pick the bank account).
  5. Tap Confirm & Save to keep it, or Discard to throw it away and start again.
💡The window stays open after you save, so you can rattle off several entries one after another — an income here, a trip there, a new contact — handy at the end of a busy day. Each one you save is listed at the top so you can see what went in.

When it hands you to a bigger tool

Some jobs need a proper document or a few more details than a quick note can hold. When you describe one of these, Quick Log does not try to build it — instead it shows a card that says something like "Better in the Invoices tool", with a button to open that tool now or leave it for later.

  • Making or sending an invoice → opens Invoices.
  • Making a quote → opens Quotes.
  • A purchase order → opens Purchase Orders.
  • Recording a supplier's invoice → opens Supplier Invoices.
  • A customer statement → opens Statements.
  • Running payroll or a payslip → opens Pay Run.
  • Adding a staff member → opens Staff Register.
  • Anything about VAT or tax → opens SARS.
💡So "make an invoice for Sipho for R2000" does not log R2000 as income — an invoice is a bill you send, not money received yet. Quick Log opens the Invoices tool with that in mind, and you log the payment later when Sipho actually pays.

Snapping receipts and photos

A photo is often the quickest way of all — no typing. Point the camera at a till slip or supplier invoice, or upload one you already have, and Worklog pulls out the total, what it was for, and who it was from. You can add a line of extra detail underneath, like "paid by card, from Sipho", before you tap Log it.

💡Worklog automatically shrinks the photo before sending it, so a Quick Log uses far less of your mobile data than sending the full-size picture — while keeping the receipt sharp enough to read. Hold the phone steady and get the whole slip in the frame for the best read.

Good to know

  • Always check the card before saving. If Worklog is not sure, it puts a small "double-check" label on the card — look twice at the amount and the name.
  • For income, the amount is the full amount that came in; Worklog takes any VAT back out for you, and the Tax Jar works out what to keep aside for SARS.
  • Reading your words or a photo uses AI, which has a monthly limit on each plan. When you reach it the AI reading pauses, but you can always keep logging money by hand — see How many AI Quick Logs you get.
  • Quick Log is a shortcut, not a separate set of records. Everything it saves lands in the same place as the normal tools, so your reports and tax numbers stay right.
